Our site is one of the few SA sites that filters accommodation REAL TIME and ONLY displays for a SEARCHING CUSTOMER THAT accommodation that is available at THAT precise moment when he is doing his search ACROSS ANY AREA of the Customers choice
The primary aim of the site is to ‘filter' traffic and enable booking customers to immediately know which Apartments are available and to BOOK by using a Credit Card (Payment gateway) or the EFT system. It is important that the Property Owner or the site Administrator keep their bookings up to date and accurate since these dates drive the selection of Apartments/Properties/Rooms those customers will browse when they have specific date requirements.
One of the main strengths of the site is the ability for the site to be searchable across all aspects of the site. The site is also very flexible when it comes to what can be searched!
On every main page in the site there is an Apartment/Property search box. The customer simply enters the type of accommodation, the number of bedroom and arrival and departure dates to view the available Apartments. The system will only select Apartments with exact requested availability.
Visitors can thus immediately determine only the owners who have availability at that precise moment in time.
Normally Tourists/visitors have to contact each individual homeowner, enquiring as to the availability of his accommodation. Not with our web site - Each owner has his/her own availability calendar which instantly displays the correct, up-to-the-minute, availability.

In the Owners Control area, you are able to control all aspects of your property and the online booking system. This system aims to be as complete and powerful a system as possible. Unlike other systems that force you to work their way, limiting your options when it comes to how you deal with your customers, this system aims to put you firmly in the driving seat. It offers you many options to help you to display your Apartment or Property to prospective clients, some which you will not need or perhaps never even see, and some which you will use almost daily.
The software has the ability to manage self catering properties i.e. Single Room Properties (SRP) , as well as the ability to manage B&B's, Guest House's and any other type of property that requires Multiple Availability Calendars PER Property ! This type of property is called a Multi Room Property (MRP).
The Owners Controlled areas can be divided into two main areas.
The First being a low level access area, called the Receptionist area and the second for the Owner or Manager of the property. This area has a higher access password. The web site offers numerous security settings to allow different persons to work on the web site and on the properties. This is similar also to have access to your house. There will be a front door, a back door, possibly a side entrance and even inside the house you will have certain restricted areas, for example your safe. Different person will have access via different routes into your house, the same with your web site.
The Major advantage of using our system is that while someone is booking on the web site, one of your staff can book someone in over the phone and another staff member can assist with a booking at the front desk - ALL working on the same database and thus eliminating any chances of double bookings.
It will be the relevant person's responsibility to ensure that their current and future pricing, availability etc. is kept up to date through this control area although there is no need to remove historic information since the system will maintain this for them.

Various functions can have restrictions placed on them depending of security. Receptionists will mainly work with booking guests in and out or make changes to bookings.
From this page you can view your property's information as a site visitor would see it.
List of Properties (above 3)
Here the receptionist will see a list of all the properties she is allowed to see. You are thus able to have different receptionists work with different properties - or ONE or ALL. Security is strictly controlled on the site.
Here the receptionist will have different pages displayed depending on your property configuration. If you have a Guesthouse you'll see the booking form with each available room. If you have a self catering property the display doesn't show available rooms - as you only have ONE availability Calendar.
The form has several different areas. It is designed so that when making a booking the guest doesn't need to change pages to work out how much his booking is going to be, it's all worked out on the same page for him.
Arguably the most important part of the page is the Booking Particulars area. This is where the guest enters the parameters of the booking they want to make, and the booking engine uses to work out if:
Black bookings are a term used to define bookings which are not made by a guest. Instead they are used by the system in place to take the room or rooms out of service, either for renovation or because the property is not available for booking - For example, should an owner wish to use their own property.

From here you can view the details of a booking. You also have access to several functions, such as:

From here you can view the details of new bookings. You also have access to several functions - Similar to above - all to enable you or your staff member to easily and immediately confirm a booking.

A list for today or each day's guests that have pre-booked will be available
from a drop down menu.
Book a Guest Out (above 12)
This page provides a dropdown menu of currently "booked in" guests to be "booked out". And then offers an opportunity to add any extras or amendments to the initial contract.
This page offers the receptionist and property managers the opportunity to edit various details about guests.
For security, if you leave your owner's control area open in a browser for a period of time the system will disable itself and if someone attempts to use the facilities on your screen they will receive an error message.
2) b Property Managers Functions
(Icons 14 -25 in the display above) Please note that a person with Receptionist security settings will NOT be able to access this area and this area will also not be visible. Only a person with a higher security setting will be able to access this area of the Owners Control Area. This area will allow the Property Owner or Administrator to control their individual property or Apartment and amend their pricing, availability, etc. instantly on-line through each Apartment's individual control area.
Property Details (above 14)
The Property Admin section is the core of your property set up. This is where you will configure rooms, tariffs, room features and the basic information about your property. The different panels are accessed via tabs. Within these tabs your will be given a list of any existing elements and possibly buttons that will enable you to create new elements.
Tariffs are extremely important and are linked to rooms via room/property types. It's vital that you ensure that any tariffs you create in Advanced or Micromanage mode are associated with a room/property type and a corresponding room in your system. This system is extremely powerful and you are able to manage any combination of room types and tariffs.
Property Configuration (Above 16)
General Configuration is the heart of your property. It's where you will modify virtually all of the configuration settings that affect how your property behaves. Note that not all of the options listed here. Every single possible configuration can be adjusted to suit the individual property owner - By them!!

This tab, and/or some of the options may not be visible to you; it depends on how your Site Administrator has configured your options.
Note. The date format style can be configured by you. Even the color, and displays dates can be changed to suit the individual's preferences.
Last minute Bookings Property Configuration Tab (16)
Last minute bookings are becoming increasingly popular overseas. The main business in the UK that started this type of business model is www.lastminute.com . It has now become the standard for booking properties and holidays at the last minute. We strongly advise our customers to make use of this feature.
Enabling last minute functionality can be accessed via the Property Configuration tab. Some and/or all of the options may not be visible to you - it depends on how your Site Administrator has configured your options. The Last Minute discount functionality is suitable for Single Room Properties that wish to offer a discount to late bookers. If you are configured as a Single Room Property you will see the Last Minute tab as part of your Property Configuration tab
Configuring it is straight forward, you have choose "Yes" from the drop down menu to enable it , you have the "Threshold" which is the number of days from today that the discount is available from and you have a percentage option to set what level of "Discount" you may want to offer
In the Guest types list it is possible to set the order that the guest types will be generated
Discount coupons can be used on the web site or as a special incentive in paper and print marketing to encourage potential guests to rather book with you. A good place to use discount coupons is in your local Tourism Information Brochure or any marketing material that is placed at Airports.
Optional extras can be added to a booking while the booking is being performed. Name and Description is self explanatory, as is the Price. The chargeable daily flag allows you to define whether or not the extra should be charged just once or for every day of the booking.
Slideshow image upload (above 20)
Use this feature to upload images to the server for display in the slideshow. Browses to the images you require then upload them en masse. Once they are uploaded they will be resized by the server to a size defined by the system administrator and you will be able to view them in the slideshow feature, viewable through the property details page. You are restricted to .jpg images only.
This page will give you a series of charts displaying current booking data.
Use this button to put the property online when you have finished editing it. If the icon is green then your property is currently published, if it's red then the property is not published.
New Property (Above 23)
Depending on how your site administrator has configured your server, you may see the above icon. This gives you the option to create new properties. If you are a super property manager, you will see this, regardless of the server settings.
The audit trail is a log of various user activities for your active property. You can filter the Audit Trail according to the date, username or operation performed, and uses the Archive button to move the entries into the audit archive.
(You will only see this if you are a super property manager)
A Super Property Manager only option, allows you to report issues directly to the software developers.
